How to make your wedding guest list

  1. Set your number first. Your venue size and budget decide how many people you can invite. Your caterer charges per person, so every name counts.
  2. Agree on the rules together. Plus-ones for everyone, or only for couples? Kids invited, or adults only? Decide once so every household gets the same answer.
  3. Start with must-invites. Immediate family, grandparents and your closest friends. Then add extended family, friends, coworkers and family friends.
  4. Add households, not just names. One invitation goes to each household. Quick add a list above turns "John & Mary Smith" into two guests in one household.
  5. Collect addresses early. Filter to Missing address and text those people before save-the-dates go out.
  6. Track every RSVP and meal. Then send the caterer report and build your seating chart from the people who said yes.

Questions couples ask

Is this wedding guest list template free?
Yes. The guest list and RSVP tracker is free, with no sign-up needed to start. Your list saves in this browser as you go. Make a free account to use it on your phone and computer, or to share it with your partner.
How do we make a wedding guest list?
Start with must-invites (family and closest friends), then add friends, coworkers and plus-ones until you reach the number your budget and venue allow. Decide your rules for plus-ones and kids before you start, so every household gets the same answer.
How many invited guests actually come?
A common rule of thumb is that about 75% to 85% of invited guests say yes. Expect more yeses when most guests live nearby, and fewer when many have to travel. Plan your budget for the high end.
Can we download our guest list to Excel?
Yes. Export the full list as a spreadsheet file for Excel or Google Sheets, mailing labels for a mail merge, a caterer report with meal counts and dietary needs, and a thank-you list.
When should we send invitations?
Save-the-dates go out 6 to 8 months before the wedding. Mail invitations 6 to 8 weeks before, with an RSVP deadline 3 to 4 weeks before. That gives you time for the seating chart and final counts.
